Job Description

This role is responsible for coordinating and supporting administrative, travel, transportation, and office management activities to ensure smooth and efficient business operations. The Administration Officer plays a key role in managing travel arrangements, office facilities, staff movements, visitor services, and administrative support functions while maintaining compliance with company policies and safety standards.

The position works closely with employees, contractors, travel service providers, and management teams to ensure effective coordination of travel logistics, office operations, and workplace support services. The role also contributes to maintaining a professional, safe, and well-organized work environment across mine sites and regional offices.

Responsibilities

  • Promote and maintain a positive workplace safety culture in line with company standards
  • Collect and review travel requests, ensuring proper approvals are obtained
  • Advise employees on travel options, routes, and cost-effective travel arrangements
  • Ensure all travel bookings comply with company travel policies and procedures
  • Prepare daily travel itineraries including flights, accommodation, and ground transportation
  • Book and confirm airline tickets, railway tickets, hotels, and airport transfers
  • Coordinate with travel agencies, airlines, hotels, and transportation providers
  • Supervise drivers and monitor transportation arrangements to ensure efficient service delivery
  • Prepare transfer schedules and communicate plans to drivers and service providers in advance
  • Monitor ticketing deadlines, travel changes, cancellations, and fare adjustments
  • Maintain accurate travel records, itineraries, and staff movement registers
  • Prepare charter flight manifests and coordinate related travel logistics
  • Communicate updates regarding charter and commercial flight schedules
  • Monitor travel advisories and inform staff of potential risks or restrictions
  • Support logistics arrangements for meetings, workshops, training sessions, and conferences
  • Coordinate travel arrangements for recruitment activities and business events
  • Track staff movements during travel to enhance safety and accountability
  • Provide administrative support to mine operations and regional executive teams
  • Coordinate office facilities, cleanliness, consumables, and workplace maintenance
  • Ensure office health, safety, and compliance requirements are maintained
  • Monitor and replenish first aid kits and emergency supplies
  • Coordinate meeting room bookings, meeting setups, refreshments, and visitor services
  • Supervise reception and security personnel
  • Facilitate office access and support visitors, executives, and stakeholders
  • Maintain physical and electronic filing systems and office records
  • Perform additional administrative duties assigned by management

Qualifications

  • Diploma in Business Administration, Office Administration, Travel and Tourism, Logistics, or a related field
  • Proficiency in Microsoft Office applications, including Word, Excel, and PowerPoint
  • Knowledge of office administration, travel coordination, and logistics processes
  • Understanding of workplace safety and administrative procedures
  • Basic knowledge of information technology and office systems management

General Requirements

  • Minimum of 2 years of experience in administration, travel coordination, transportation, or office support services
